How to Respond to Negative Reviews (Templates + Examples)

A bad review is not a disaster — it's an audition. Every future customer who reads it will judge you on how you responded, not on what was said. Done well, a professional reply to a 1-star review can win more customers than the original review lost. Done badly, it can end a business.
The 5-part response formula
- Thank them for the feedback (never sarcastically).
- Apologize specifically for what happened (never generically).
- Acknowledge the issue in their words, showing you read it.
- Explain briefly if there's context — never as an excuse.
- Offer to fix with a named human and a direct contact method.
Keep the whole reply under 100 words. Long replies read as defensive; short replies read as confident.

Template 1 — Legitimate complaint

Template 2 — Genuine misunderstanding

Template 3 — Unfair review with facts wrong

Template 4 — Not a real customer
Hi [Name], we take every review seriously but we're unable to find any record of your visit/order. If we've made a mistake, please email me at [email] with any details so we can help. If this was posted in error, we've also flagged it for the platform to review. — [Owner Name]
Template 5 — 3-star lukewarm review
Hi [Name], thank you for the honest feedback. You're right that [specific thing they raised] — we're actively working on [improvement]. I'd love to have you back so we can show you what changed. Please email me at [email] and I'll make sure your next experience is on us. — [Owner Name]
The 10 mistakes that make bad reviews worse
- Replying while emotional (wait 24 hours if needed).
- Blaming the customer, staff or "the algorithm".
- Using sarcasm or humor — it never lands as intended.
- Copy-pasted generic replies ("Sorry to hear this…").
- Denying the experience happened.
- Threatening legal action publicly.
- Long, defensive paragraphs explaining yourself.
- Asking them to remove the review in your first reply.
- Offering money publicly (looks like a bribe).
- Not replying at all.
Platform-specific rules
- Google: Reply from your verified Google Business Profile. Never share the reviewer's private info. Never link to their social profiles.
- Yelp: Reply publicly, then use Yelp's DM feature to move the conversation offline.
- Trustpilot: If you can prove the reviewer never bought from you, request verification — Trustpilot may remove it.
- Facebook: Reply on the recommendation, then message privately from the business page.
When (and how) to ask for a review update
Once you've resolved the underlying issue privately, it's fair to ask — once — if the reviewer would consider updating their review. Never demand it. Never withhold the resolution until they agree. Suggested wording, via private email:
"Thank you for giving us the chance to make this right. If you feel we've resolved things, we'd be grateful if you'd consider updating your review — but only if it genuinely reflects your current experience. Either way, thanks for your patience."
